Position Description:
The Advancement Data Specialist is responsible for the day-to-day data entry, gift processing, acknowledgments, and record maintenance. This role supports the growing demands of increased giving, particularly as the Advancement department continues to expand.

Primary Responsibilities:
  • Ensure the timely and accurate processing of gifts.
  • In collaboration with the Accounting department, manage the full process of depositing donation checks, ensuring secure handling and timely scanning to the bank account.
  • Produce, prepare and mail accurate gift acknowledgements and tribute notifications.
  • Update and correct addresses when mailings are returned.
  • Maintain and coordinate gift document storage.
  • Import bulk data files for fundraising staff.
  • Assemble simple mailing lists and gift lists.
  • Daily review for duplicate records.
  • Receive and respond to simple donor communications related to gifts and update the acquisition “Do Not Contact” list.
  • Perform routine data integrity queries and updates.
  • Produce, prepare and mail weekly new donor Welcome Kits.
  • Provide support to Advancement Database Manager as needed.
Required Qualifications:
  •  Bachelor's degree or commensurate experience.
  • Two (2) years’ experience in a non-profit, accounting, or data focused setting.
Preferred Qualifications:
  • Two (2) years’ experience with Virtuous, Raiser’s Edge, or a similar relational database.
  • Experience in data entry, gift processing and receiving.
Knowledge, Skills, and Abilities:
  • Knowledge of basic accounting concepts.
  • Excellent computer skills with proficiency in Microsoft Word and Excel.
  • Excellent organizational skills and ability to multi-task with uncompromising attention to detail.
  • Ability to maintain confidentiality and sensitivity relating to donor philanthropy.
  • Ability to interact with a diverse client base with culture sensitivity.
  • Commitment to professionalism, effective communication in all interactions, and fostering a positive and collaborative work environment.
Work Conditions:
  • Environment: Office
  • Range of Schedule: Mon – Fri, 8:00 a.m. to 5:00 p.m.
  • Travel: None
