Position Description:
The Benefits Coordinator is responsible for the administration and coordination of the organization’s employee benefits programs—including health insurance, retirement plans, leave of absence management, and workers’ compensation. This role serves as a key point of contact for employees, providing guidance throughout the benefits enrollment process, addressing inquiries, and ensuring all programs are clearly communicated and accessible. The Benefits Coordinator maintains accurate records within the HRIS and with external carriers, processes benefit enrollments, changes, and terminations, and supports compliance with all applicable federal and state regulations. Additionally, this position manages vendor relationships, supports benefits-related reporting, and contributes to the strategic enhancement of the company’s benefits offerings. By combining technical accuracy with exceptional employee service, the Benefits Coordinator helps ensure staff are well-supported in understanding and utilizing their benefit options.

Primary Responsibilities:
  • Administer Benefits Program: Administer all aspects of the employe benefits programs, including plan renewal, employee enrollments, COBRA administration, terminations, changes, beneficiary updates and processing of death claims.
  • Annual Enrollment Coordination: Lead the coordination of annual benefits enrollment, including preparation and distribution of communications and materials, form processing, and collaboration with vendors to ensure a  timely and efficient rollout.
  • Employee Education & Support: Conduct new hire benefits orientations and facilitate open enrollment sessions to ensure understanding of available benefits. Provide ongoing education and support through clear, accessible communications and materials.
  • Worker’s Comp Administration: Manage the organization’s workers’ compensation program, including claim reporting, coordination with insurance carriers, tracking incidents, and ensuring compliance with state and federal regulations.
  • Leave Management: Coordinate all types of employee leave—including FMLA, ADA, personal, military, and other statutory or organizational leave— ensuring compliance, accurate documentation, timely processing, and effective communication with employees regarding eligibility and procedures.
  • HRIS Records Management: Maintain accurate and up-to-date benefit records within HR systems, and provide ongoing support to employees regarding eligibility, coverage options, and policy changes.
  • Billing Reconciliation: Perform billing reconciliation for employee benefit programs, ensuring accuracy in invoices and payroll deductions. Investigate and resolve discrepancies by coordinating with vendors, carriers, and internal departments as needed.
  • Audits & Compliance Support: Assist with internal and external audits, prepare required compliance documentation, and support benefits-related reporting such as ACA filings (e.g., Form 1095-C) to ensure regulatory compliance and data accuracy.
  • Vendor & Broker Liaison: Act as the primary liaison between the organization and insurance brokers and benefit providers, addressing inquiries, resolving issues, and ensuring the effective administration of all benefit-related matters.
  • Process Improvement: Continuously evaluate and improve benefits administration processes to increase efficiency, reduce operational costs, and enhance service delivery.
  • Procedure Documentation: Develop, maintain, and regularly update administrative procedures for all benefit-related processes to ensure operational consistency and regulatory compliance.
  • Regulatory Compliance: Ensure ongoing compliance with all applicable federal and state regulations, including but not limited to DOL, ERISA, HIPAA, and ACA.
  • Reporting & Analysis: Generate and submit required internal and external reports. Analyze benefits data to identify trends, support decision-making, and ensure program effectiveness.
  • Research & Trend Monitoring: Conduct research and stay informed on industry trends, regulatory changes, and emerging best practices to guide policy updates and benefit plan enhancements.
Required Qualifications:
  • Bachelor’s degree in Human Resources, Business Administration, or related field.  Three (3) years of progressive experience, HR may be considered in lieu of degree.
  • Three (3) years’ experience in employee benefits administration or HR support roles required.
  • Experience with benefit software or HRIS platforms like Paycom, UKG, or ADP.
Preferred Qualifications:
  • Certified Employee Benefit Specialist (CEBS), PHR, or SHRM-CP a plus.
  • Experience managing leave administration highly desired.
  • Strong background in billing reconciliation, payroll coordination, and resolving benefit discrepancies.
Knowledge, Skills, and Abilities:
  • Knowledge of general Human Resources practices.
  • Demonstrated knowledge of employee benefits regulations and compliance requirements (FMLA, COBRA, ACA, etc.).
  • Strong interpersonal and  communication skills.
  • Proficient with HRIS systems and Microsoft Office Suite.
  • Strong attention to detail and excellent organizational skills.
  • Ability to maintain professional work environment and handle confidential information with discretion.
  • Ability to work effectively under time constraints to meet deadlines.
  • Demonstrated ability to analyze complex issues, identify root causes, and develop effective solutions.
  • Skilled in interpreting data, resolving discrepancies, and making informed decisions to improve processes and support organizational goals.
Work Conditions:
  • Environment: Hybrid
  • Range of Schedule: Mon – Fri, 7:00 a.m. to 8:00 p.m.
  • Travel: Occasional travel may be required for trainings, meetings, benefits events, or other work-related functions.
